Data protection at YNiC reminder

Hi All, As we get towards the end of the data-collection period for the masters projects, and the exciting analysis stage gathers pace, now would be a good time for everyone to re-visit the data security rules for neuroimaging data. You can find our policies by following this link to YNiC's wiki page on data protection <https://wiki.pages.ynic.york.ac.uk/UserResources/Policies/DataProtection.ht…> . As part of your centre induction you will have completed an Appropriate Data Usage Declaration in which you commit to following the policies described in the Data Protection Policy document - it is important that you uphold these rules. A few illustrative (not exhaustive) examples are listed below: *Do Not* share neuroimaging data by email, Google Drive, Dropbox etc. *Do Not *submit neuroimaging data to AI tools like DeepSeek or chatGPT. *Do Not* transfer neuroimaging data to USB drives, or any computers that are not provided by YNiC (even other computers provided by the University). *Do Not* store R-numbers alongside identifiable participant information. YNiC provides data storage for all research projects which can be used to share data with other people in your research group, the storage directories have filepaths of the form: /scratch/groups/Projects/PXXXX/ Where PXXXX is your 4-digit project number. Storing data in these directories is the only method through which you are permitted to share data. We provide a wiki page offering tips on managing data access that you can find by following this link to YNiC's wiki page on managing data permissions <https://wiki.pages.ynic.york.ac.uk/IT/UnixUsers/FilePermissions.html>. Summary data such as screenshots of a fMRI overlay, mathematical plots of data, or graphs or tables of summary statistics can be used in your reports, but must not contain personally identifiable information. YNiC Operator Training

Dear all, As everyone is aware, we provide a lot of YNiC technician operator cover whilst also training YNiC users to be operators themselves. This works well for everyone as it balances workloads for YNiC technicians and provides more flexibity in scanning for those users who are trained to be an operator. Part of the operator training process requires the trainee to attend and scan across multiple sessions to ensure they are of the standard we expect before being 'signed off'. There is no official policy on this, but as a centre we would expect those who are going through this process to attend as many sessions as possible on their lab projects to speed up the training process. On a few occasions recently, trainees have not been scanning on projects run by their labs (e.g., for MSc projects), which increases workload for YNiC technicians. I am therefore emailing to ask everyone to try to engage with training as much as possible. If a project is running in the lab and you are being trained, please try to ensure you are attending as many of these sessions as you can. This is of benefit for yourself and the YNiC staff, and ensures we are providing operator cover more equitably across labs. As always, if there are circumstances that might this difficult, come to talk to us and we will do our best to help and support you. Online Interview Room Booking at YNiC

Hello, Over at YNiC we have integrated our interview room booking system with Psychology, so you can now book these rooms online using the following link: Psychology Bookings <https://psychbookings.york.ac.uk/booked/schedule.php?sid=14>. Log in with your *University* credentials, and select 'YNiC Room Bookings' from the drop down menu above the calendar to see the room availability. Using this system you can book: - YNiC: Open Plan Interview Room - YNiC: MRI Corridor Interview Room - YNiC: Meeting Room * This *does not* change how you book the MRI or MEG scanners. By default, you will be able to see these rooms, however you will need permission to start booking. If you would like access to book the rooms please let me know and I will add your account to the YNiC group once you've successfully logged into the system (you will need to have logged in *before* I can add you to the YNiC group). Limited YNiC support 14-18th April

Hello All, The keen amongst you will have noticed that there is no operator cover available next week (14-18th April). This is necessary to accommodate part-time working patterns and annual leave for YNiC staff. The Centre's IT facilities will continue to be available, and projects can continue running scans wherein they can provide their own operators. There will, however, be limited support available to resolve any problems that arise. As ever, please ensure that you get any necessary level 3 operator sign-offs completed as far ahead as possible: there will be extremely limited availability next week. PLease also join us for this week's COGS session on Wednesday at 11am. *YNiC User Inductions* If you are aware of any new students/staff that will require access to YNiC and/or an IT account, they must attend a YNiC user induction. Avoid Running Computationally Heavy Tasks on the Remote Desktop

Hello, We would like to remind everyone that the remote desktop is not suitable for running computationally heavy tasks or resource-intensive processes. To ensure optimal performance for all users, please send resource-heavy computations (such as large data processing tasks) to the cluster. It is designed to handle such workloads more efficiently and with minimal disruption to others. MRI Safe Glasses
